How do I mark electronically signed documents?
You can use flags or notes to transfer electronically signed documents from other organizations into your organization's filing system and retrieve them later. Such flags are used, for example, to store documents submitted as part of an admission process. This has the valuable side effect that the same document cannot be reused for multiple school registrations, because the Pre-registered for admission flag is also visible to other organizations.
With the Create note function, you can decide whether your note is only visible to your own organization or also to other organizations.
Note: When validating a document, all organizations can see any shared flags or notes made by other organizations.
Principals and authorized employees can display all marked documents from their organization, add flags and notes to documents. To display all marked documents, open the Marked documents option in the Officially signed documents & deliveries widget on the dashboard of the education portal.
All marked documents are displayed.
Preregister a student
Currently, there is only the Mark for admission flag, which you can use to indicate that a specific document has been submitted to your organization as part of an admission process. To mark a document, click the Pre-registered for admission flag.
Note: Only principals and authorized employees can mark documents.
Unmark a document
Add a note
To add a note, open the document using the Validation or by selecting the document in the Marked Documents table.
In the Create note form, you can decide whether the note should be visible to My organization or to All organizations. Enter your note in the note field and confirm by clicking the Save button.
In the Marked documents table, internal notes are indicated by a slashed eye icon, cross-organizational notes are indicated by an eye icon. Click the eye icon to change the type of note.
